Roldo Rent Optimises asset management with POLARIS RFID

Roldo Rent is a leading rental company specialising in the rental of sustainable and professional moving equipment. Its range includes roll containers, plastic moving boxes and other tools that contribute to the efficient relocation of businesses. Operating in the Netherlands, Belgium, Germany, Switzerland and Austria, Roldo Rent collaborates with a network of warehouses. Accurate asset tracking and management are crucial to its services. The company is committed to innovation and efficiency across all its processes and plays a key role in its customers’ logistics chain.

The challenge

Following the acquisition of Varodarent, it became clear to Roldo Rent that maintaining two separate software platforms – Scanalytic and A-rent – was not a sustainable option. The existing systems provided insufficient support for operational processes, leading to inefficiencies and a lack of uniformity in asset management. Additionally, there was an urgent need
for an integrated system capable of optimising user roles and access management, ensuring better support for the company’s complex multi-entity structure

The solution

Roldo Rent chose POLARIS RFID Asset Management
Software
as its new asset management solution. POLARIS combines powerful RFID technology with userfriendly software to ensure seamless integration between hardware and business processes. The project included:

RFID technology: POLARIS has been extensively customised, including the addition of an extra ‘Organisations’ level to control asset access based on user roles. Its RFID functionalities enable real-time asset tracking, bulk operations and error-free inventory management. POLARIS serves as a centralised asset management platform, offering tracking, location reports and status updates. By using RFID tags, it ensures precise data capture.

Hardware: 50 handhelds were integrated with POLARIS. These handhelds enable fast and efficient scanning, ensuring a seamless flow of data within the system, with real-time visibility of all asset movements and actions.

Phased implementation: The transition to POLARIS was rolled out in two stages:

1. Phase 1: All data and functionalities from Scanalytic were migrated to POLARIS, including all customer records and handheld applications.

2. Phase 2: The full functionality of A-rent was integrated into POLARIS. After a testing phase – including a comprehensive dry run to verify all processes – POLARIS was successfully launched.

Future plans

Roldo Rent continues its close cooperation with Aucxis to further optimise POLARIS and develop new functionalities.
In addition, the company is exploring further opportunities:

  • ERP integration: Connecting POLARIS with the ERP system to streamline workflows and improve overall organisational efficiency.
  • Expansion of RFID functionalities: Further refining tracking and automation features to gain even faster and more precise insights into asset movements and availability.
